Who is responsible?
BlazeForce is responsible for the processing of personal data through this website. For privacy questions or requests, please use the contact form.
Which data do we process?
- Website visits: the web server processes data such as IP address, date and time, requested page, browser information and technical error information. This is needed to provide a reliable and secure website and to investigate misuse.
- Contact: when you use a contact form, we process your name, email address and message, plus any optional information you provide. We also record the language, source page, page title, referrer and available search or campaign parameters so we can answer your request in the right context and understand the effectiveness of our content.
- AI chat: when you use the BlazeForce AI chat, we process your messages, active page, language choice, technical session data and, if you ask for follow-up, your contact details. The chat provides high-level guidance and may include a compact conversation summary with your request.
- Client portal: if you have access to the client portal, we process data needed for quotes, projects, tickets, time entries, invoices, documents and contact moments.
- Accessibility preferences: settings such as larger text, high contrast and read-aloud are stored locally in your browser. The read-aloud function uses your own browser capabilities and does not send the text to an external speech service operated by BlazeForce.
- Cookie preference: we store your selected cookie settings for up to 180 days so the cookie banner does not have to be shown on every visit.
Legal bases and retention
Technical security and server data are processed on the basis of our legitimate interest in a safe, well-functioning website. Correspondence is processed to handle your request, prepare or perform an agreement, or on the basis of a legitimate interest in normal business communication. We do not retain data longer than necessary for the purpose, legal obligations or the handling of a security incident or dispute.
Cookies and similar technologies
BlazeForce uses necessary technologies for security and to remember your preferences. These do not require consent. With your explicit consent we use Google Tag Manager and Google Analytics 4 to receive aggregated information about visited pages, device type, browser and general origin of visits. Google services and content from other external providers remain disabled until you enable the relevant category. We do not use advertising cookies.

Google Tag Manager and Google Analytics
Google Tag Manager manages the analytics tags and Google Analytics processes analytics data. Google services are only loaded after you consent to analytics. Depending on the service and configuration, Google may process information as a processor or as an independent controller. More information is available in Google’s privacy policy. Transfers outside the European Economic Area only take place with a valid transfer mechanism and appropriate safeguards.
AI chat, contact requests and appointments
The AI chat is processed server-side. BlazeForce may use an AI service provider, such as OpenAI, to generate a response. The API key remains on the server and is not exposed to your browser. Do not share special categories of personal data, passwords, confidential client data or other information that is not needed for your question. When you submit a request, we store a compact chat summary so we can follow up substantively.
Contact requests are forwarded to BlazeForce by email and stored in our self-managed Nextcloud environment on a VPS in Europe. Only authorised people have access. We generally retain the request and related contact moments for up to 24 months after the last substantive contact, unless a legal retention obligation or active agreement requires a longer period.
If you schedule an online appointment, we also process the selected date and time. A secure Nextcloud Talk room is created for the video call. You can confirm or cancel the appointment through the link in the confirmation email.
Client portal, quotes and invoices
For clients, BlazeForce may process data in the client portal such as contact persons, project information, quotes, tickets, time entries, invoices, payment statuses and related communication. This data is used for service delivery, administration, follow-up and legal retention obligations. Access is role-based and limited to people who need the data.
Sharing, transfers and security
We do not sell personal data. Data is only shared with service providers when needed for hosting, security, email or service delivery, or when legally required. We take appropriate technical and organisational security measures. If a provider outside the European Economic Area is used, we use a valid transfer mechanism and appropriate safeguards.
Your privacy rights
You can request access, correction, deletion, restriction, portability or object to processing. You can also withdraw consent at any time. Please use the contact form. We may ask for additional information to verify your identity. You can also lodge a complaint with the Dutch Data Protection Authority.
